• Professional Advisors: My accountant, for tax and financial reporting purposes.

• Licensing Authority: My registered Council, where I am legally required to provide records for inspection to maintain my private hire license.

I am committed to ensuring that your information is secure.

• Digital Records: Data is stored on a digital logbook on a computer. This is kept on a secured, password-protected digital drive.

• Encryption: Backup data is stored on Apple iCloud using an encrypted disk.

• Network Security: I utilize a VPN (Virtual Private Network) for all internet activity to ensure data transmission is secure.

• Calendar Privacy: My scheduling calendar only contains first names and general locations to prevent unauthorized access to full passenger details.

7. Data Retention

• Operational Records: I keep journey booking records for up to 12 months for licensing and operational purposes.

• Financial Records: Information required for tax purposes (invoices/receipts) is retained for at least 5 years following the 31 January submission deadline of the relevant tax year, as per HMRC requirements.

8. Your Rights

Under the UK GDPR, you have the right to:

• Request access to the personal data I hold about you.

• Request that I correct any inaccuracies.

• Request that I delete your data (where I am not legally required to keep it for licensing or tax).
